myocr for Excel — user guide

Turn any PDF or scanned image into spreadsheet data, right inside Excel — snip a region into a cell, pull whole tables, and keep every value linked back to the original document.

Overview

The myocr add-in lives inside Excel: open a PDF or image in the side panel, select what you need, and the data lands in your sheet — as a value in a cell or a full table.

What makes it different from a plain OCR tool is source-linking: every cell you fill keeps a link back to the exact page and region it came from, so you (or a colleague) can click a value and see the original document highlighted. Nothing to re-check by hand.

You work entirely in Excel — no copy-paste between apps, no separate website. Documents you open are processed by the myocr OCR engine and the results are written straight into your workbook.

Install & sign in

Install the add-in from the Microsoft/Office add-in store (search “myocr”), or sideload the manifest during early access. Once installed it appears in the Home ribbon and opens as a side panel.

Click “Sign in with myocr”. A small window lets you sign in by email + password, with Google, or with a passwordless magic link. The add-in then configures itself automatically — it provisions a dedicated key for you, so there is nothing to copy or paste.

To use the add-in you need a verified payment card and either an active subscription or a free trial that isn't used up yet. Signing in on a new computer re-issues the key, so older devices may ask you to sign in again.

To use a different account, click “Switch account” and sign in again. You can also set the add-in up by hand: on your account page use “Copy the Excel add-in key” and paste it into the add-in's Advanced (manual key) field — handy when you manage more than one account.

Install by manifest (early access)

While the store listing is under review, you can install the add-in yourself in about two minutes. First, download the manifest file.

  1. Excel on the web (the quickest way): open a workbook on office.com, go to Insert → Add-ins → My Add-ins → Upload My Add-in, and pick the manifest file you downloaded.
  2. Excel for Mac: copy the manifest file into the folder ~/Library/Containers/com.microsoft.Excel/Data/Documents/wef (create the “wef” folder if it doesn't exist), then restart Excel.
  3. Excel for Windows: loading a manifest by hand requires a shared-folder catalog, which is more involved — until the store listing is live we recommend Excel on the web, or write to us and we'll walk you through it.

Once loaded, myocr appears in the Home tab. The add-in runs from the web, so you always have the latest version — nothing to update. To remove it, delete the manifest from where you added it.

Extracting data

You have several actions. Most read the document and cost one page per page they process; “Verify all” is a local re-check and is always free. Tip: to grab a table, “Whole-page table” — or “Whole document” for every page — is cheaper and cleaner than many small snips.

For a multi-page document use “Whole document”: it extracts the tables from all pages at once, with the best column structure. Large documents (over 10 pages) run in the background — you'll see a “large document, processing…” message while it works. To process many files together, use “Convert all documents”.

“Verify all” re-checks every linked cell against its saved source and highlights any change in red; a clickable list appears so you can jump straight to each difference.

The document viewer

The panel shows the current document on a canvas. Drag a rectangle to select the region you want to work with; right-click the selection for quick actions.

Use zoom in / out / fit to frame the area precisely, and the rotate button (90°) to straighten a sideways scan — the orientation is remembered, so re-opening the source later shows it the same way.

For multi-page PDFs, use the ‹ N / M › pager to move between pages. Resizing the panel clears an in-progress selection, so draw the rectangle after you've sized the view.

Source-linking

Every value the add-in writes remembers where it came from: the document, the page and the exact region. Select a linked cell and click “Show source” to re-open that document with the region highlighted in green — the fastest way to audit a number.

Links are stored inside the workbook and survive save & reopen. Each one is anchored to a hidden named range, so inserting or deleting rows moves the link with the data instead of breaking it.

Source documents are kept in the cloud tied to your account, so a linked workbook opened on another computer can still show its sources. Use “Unlink” to remove a link (and delete the stored source when nothing else references it).

Field templates

When you process many documents with the same layout (invoices from one supplier, a recurring form), define a template once: draw a rectangle over each field and add it from the selection. Templates are saved in the workbook.

“Write headers” lays out the column titles; “Apply template (row)” then extracts every field from the current document and writes one row, advancing the selection to the next row. Combined with the multi-document list, you can turn a folder of look-alike documents into a clean table.

Working with many documents

Drop several files onto the panel (or click to browse) to load them all at once. Unsupported file types are filtered out automatically.

The “Documents” list lets you search by file name, switch between documents and remove them one by one. Sources restored from the cloud show up here too, so you can keep working across sessions.

To convert several files at once, use “Convert all documents”: a quick prompt asks how to arrange the results — one sheet per document (the default) or everything stacked in the current sheet. Files you already converted in this session are skipped, so you never pay twice.

Pages & billing

Billing is per page. A single-region extraction — snip to cell, table from selection, whole-page table, or sum — costs one page; “Whole document” and “Convert all documents” cost one page per page they process. “Verify all” costs nothing because it re-checks values you already have, without a new extraction.

The panel shows a banner with how many pages you have left and warns you when you're running low (80% used). Add-in pages come from your subscription allowance, or — if you don't have a subscription yet — from the separate add-in free trial (this trial pool is not the same as the web page packs).

When your pages run out the add-in stops and points you to subscribe or top up; it never charges you by surprise.

Formats & limits

Accepted files: PDF, PNG, JPG/JPEG, WEBP, BMP and TIFF. You can open large, multi-page PDFs and either extract page by page or grab the whole document at once (up to 500 pages; big files are processed in the background).

The add-in needs an internet connection: OCR runs on the myocr servers, so it doesn't work offline. It extracts tables and text; specialized document types (invoices, receipts and more) are available through the API.

FAQ

Do I need a subscription?

You need a verified payment card and either an active subscription or an unused free trial. The trial lets you try the add-in on a few pages; subscribe to keep using it.

Does “Verify all” cost pages?

No. It re-checks values you've already extracted against their saved sources, so it doesn't run a new extraction and costs zero pages.

I opened my workbook on another computer — where are my source documents?

They're restored from the cloud automatically and appear in the Documents list, so linked cells can still show their source. Note that signing in on a new device re-issues your key, so an older device may need to sign in again.

How is this different from Excel's “Data from Picture”?

myocr keeps every value linked to the exact page and region it came from, handles multi-page PDFs and whole batches, and lets you build reusable field templates — so you can audit and reproduce results, not just paste them once.

Can I convert a whole multi-page document in one go?

Yes — use “Whole document” to extract the tables from every page at once (best structure on multi-page tables). Documents over 10 pages are processed in the background and may take a minute. It costs one page per document page.

What if the destination cells already have data?

The add-in asks first: you can write over them, or send the result to a brand-new sheet instead. On an empty sheet it just writes straight away, with no prompt.

How do I switch to another account?

Click “Switch account” in the panel and sign in again. If you prefer to set it up by hand, copy your add-in key from your account page (“Copy the Excel add-in key”) and paste it into Advanced (manual key).

Does it work offline?

No. The OCR runs on the myocr servers, so an internet connection is required.

When I reopen my workbook, the myocr pane doesn't open by itself. Is that normal?

It can be. Excel reopens the pane automatically only in some setups (Excel on the web and Excel for Mac); on Excel for Windows it often won't. If it doesn't, just open it once from Insert → Add-ins (or the Home tab) — your source links are intact and work as soon as the pane is open.
