1. WHAT INFORMATION DO WE COLLECT?

Personal information you disclose to us

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:
  • names
  • email addresses
  • passwords
  • billing addresses
  • company names and vat numbers (for invoices)
  • documents and images you upload for conversion, and the files generated from them
  • questions you ask in our help chat
Sensitive Information. We do not process sensitive information.

Payment Data. We may collect data necessary to process your payment if you choose to make purchases, such as your payment instrument number, and the security code associated with your payment instrument. All payment data is handled and stored by Stripe. You may find their privacy notice link(s) here: https://stripe.com/privacy.

We never see or store your card number. Stripe gives us only an identifier of the card that does not reveal its number; we use it to prevent the same card from starting more than one free trial.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

Information automatically collected

In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you visit our Services.

We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.

Like many businesses, we also collect information through cookies and similar technologies. You can find out more about this in our Cookie Notice: https://app.termly.io/policy-viewer/policy.html?policyUUID=cd25a206-8ece-40c6-8723-2f3d66b46cb5.

The information we collect includes:
  • Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and which we record in log files. Depending on how you interact with us, this log data may include your IP address, device information, browser type, and settings and information about your activity in the Services (such as the date/time stamps associated with your usage, pages and files viewed, searches, and other actions you take such as which features you use), device event information (such as system activity, error reports (sometimes called "crash dumps"), and hardware settings).
  • Device Data. We collect device data such as information about your computer, phone, tablet, or other device you use to access the Services. Depending on the device used, this device data may include information such as your IP address (or proxy server), device and application identification numbers, location, browser type, hardware model, Internet service provider and/or mobile carrier, operating system, and system configuration information.
  • Location Data. We only derive your country from your IP address, using a database that runs on our own servers, to show prices for your region and for statistics. We do not collect your precise location or GPS data.
  • Abuse Prevention Data. To prevent the same person from using the free trial more than once, we compute an identifier from some characteristics of your browser and device and store it together with your IP address. We use Cloudflare Turnstile to block automated programs.

2. HOW DO WE PROCESS YOUR INFORMATION?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We process the personal information for the following purposes listed below. We may also process your information for other purposes only with your prior explicit consent.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
  • To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order. (Retention period: As long as your account exists; we delete your data when you ask us to close your account. Sign-ups that are never confirmed are deleted after 3 days.)
  • To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service. (Retention period: Documents and results are deleted within 2 hours for instant conversions on our website, and after 30 days for background conversions (large documents, API, Excel add-in and AI assistants). Single purchases without an account: 24 hours for the uploaded file and 7 days for the result. Bank statements that fail the balance check: up to 7 days.)
  • To respond to user inquiries/offer support to users. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service. (Retention period: Help chat questions: 24 months. Emails you send us: for as long as needed to handle your request and to keep a record of our correspondence.)
  • To send administrative information to you. We may process your information to send you details about our products and services, changes to our terms and policies, and other similar information. (Retention period: As long as your account exists.)
  • To fulfill and manage your orders. We may process your information to fulfill and manage your orders, payments, returns, and exchanges made through the Services. (Retention period: Billing records are kept for the period required by tax and accounting laws (in Italy, generally 10 years).)

  • To send you marketing and promotional communications. We may process the personal information you send to us for our marketing purposes, if this is in accordance with your marketing preferences. You can opt out of our marketing emails at any time. For more information, see "WHAT ARE YOUR PRIVACY RIGHTS?" below. (Retention period: Until you unsubscribe; after that we keep your address only on an exclusion list, so that we do not write to you again. Links in our marketing emails contain a code that tells us whether the email led to a visit; we use it only to measure our campaigns and keep it, without your IP address, for 24 months.)
  • To protect our Services. We may process your information as part of our efforts to keep our Services safe and secure, including fraud monitoring and prevention. (Retention period: 24 months; after that we delete the data or remove email and IP addresses.)
  • To identify usage trends. We may process information about how you use our Services to better understand how they are being used so we can improve them. (Retention period: 24 months; after that we delete the data or remove email and IP addresses.)
  • To save or protect an individual's vital interest. We may process your information when necessary to save or protect an individual’s vital interest, such as to prevent harm.
  • To perform the document conversions you request. We process the documents you upload, or that a connected AI assistant sends us at your request, only to extract the data you asked for and deliver the result. We do not use your documents to train AI models, and we do not open them unless you ask us for help with a specific file or a bank statement fails our balance check (up to 7 days, see below). (Retention period: Instant conversions on our website: the original file is deleted immediately after processing and the result within 2 hours. Background conversions (large documents, API, Excel add-in, AI assistants) and Excel add-in source documents: 30 days. Single purchases without an account: uploaded file 24 hours, result 7 days. Temporary technical copies used to repeat a processing step: 24 hours. Bank statements that fail the balance check: up to 7 days.)
  • To connect AI assistants to your account. When you connect an AI assistant (such as ChatGPT or Claude), we keep which app you connected, when you authorized it and when it was last used. The access keys we give the assistant are stored only as a one-way hash. See the section on AI assistants for details. (Retention period: Access keys: 1 hour, renewed automatically; renewal stops after 90 days without use. Download links sent to the assistant: 7 days. Connection records: as long as your account exists. You can disconnect at any time from your account.)
  • To manage your account. We use your email address and password to create your account, let you sign in and keep your page balance, purchases and conversion history. If you request a balance check report for a bank statement, we keep it under a code that anyone you share it with can verify. (Retention period: As long as your account exists; we delete it when you ask us to close your account. Sign-ups that are never confirmed are deleted after 3 days.)
  • To keep technical logs. We keep technical logs of conversions, API calls and visits, including the IP address and, when you are signed in, your email address. (Retention period: 24 months; after that we delete the logs or remove email and IP addresses from them.)
  • To answer the questions you ask in our help chat. We keep the question, the answer, the language, the approximate country and, if you are signed in, your email address. We store a hash of your IP address, not the address itself. (Retention period: 24 months.)
  • To present our services to companies and professionals. We may write to companies and professionals at the business email address they make publicly available (for example on their website). If you ask us not to contact you, by replying or with the unsubscribe link, we stop and keep your address on an exclusion list so that we do not write to you again. (Retention period: Until you ask us to stop; after that, only on the exclusion list, so that we do not contact you again.)
  • To improve how we read bank statements that fail the balance check. If a bank statement you upload does not pass our automatic balance check, we may keep it for up to 7 days solely to improve how we read that document format. Only the people who run the service and the technical providers who help us deliver it can access it, and they are required to keep it confidential. You can delete it immediately with the button shown in the conversion result, or ask us to delete it by writing to info@myocr.app. You can also object at any time. (Retention period: Up to 7 days; then it is deleted automatically.)

3. WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR INFORMATION?

In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e., legal basis) to do so under applicable law, like with your consent, to comply with laws, to provide you with services to enter into or fulfill our contractual obligations, to protect your rights, or to fulfill our legitimate business interests.

If you are located in the EU or UK, this section applies to you.

The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases to process your personal information:

  • Performance of a Contract. We may process your personal information when we believe it is necessary to fulfill our contractual obligations to you, including providing our Services or at your request prior to entering into a contract with you.
  • Legitimate Interests. We may process your information when we believe it is reasonably necessary to achieve our legitimate business interests and those interests do not outweigh your interests and fundamental rights and freedoms. For example, we may process your personal information for some of the purposes described in order to:
  • Send users information about special offers and discounts on our products and services
  • Analyze how our Services are used so we can improve them to engage and retain users

We may process your information where we believe it is necessary for compliance with our legal obligations, such as to cooperate with a law enforcement body or regulatory agency, exercise or defend our legal rights, or disclose your information as evidence in litigation in which we are involved.
  • Vital Interests. We may process your information where we believe it is necessary to protect your vital interests or the vital interests of a third party, such as situations involving potential threats to the safety of any person.

If you are located in Canada, this section applies to you.

We may process your information if you have given us specific permission (i.e., express consent) to use your personal information for a specific purpose, or in situations where your permission can be inferred (i.e., implied consent). You can withdraw your consent at any time.

In some exceptional cases, we may be legally permitted under applicable law to process your information without your consent, including, for example:
  • If collection is clearly in the interests of an individual and consent cannot be obtained in a timely way
  • For investigations and fraud detection and prevention
  • For business transactions provided certain conditions are met
  • If it is contained in a witness statement and the collection is necessary to assess, process, or settle an insurance claim
  • For identifying injured, ill, or deceased persons and communicating with next of kin
  • If we have reasonable grounds to believe an individual has been, is, or may be victim of financial abuse
  • If it is reasonable to expect collection and use with consent would compromise the availability or the accuracy of the information and the collection is reasonable for purposes related to investigating a breach of an agreement or a contravention of the laws of Canada or a province
  • If disclosure is required to comply with a subpoena, warrant, court order, or rules of the court relating to the production of records
  • If it was produced by an individual in the course of their employment, business, or profession and the collection is consistent with the purposes for which the information was produced
  • If the collection is solely for journalistic, artistic, or literary purposes
  • If the information is publicly available and is specified by the regulations
  • We may disclose de-identified information for approved research or statistics projects, subject to ethics oversight and confidentiality commitments

In Short: We may transfer, store, and process your information in countries other than your own.

Our servers are located in Germany. Regardless of your location, please be aware that your information may be transferred to, stored by, and processed by us in our facilities and in the facilities of the third parties with whom we may share your personal information (see "WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?" above), including facilities in Germany, United States, New Zealand, and other countries.

If you are a resident in the European Economic Area (EEA), United Kingdom (UK), or Switzerland, then these countries may not necessarily have data protection laws or other similar laws as comprehensive as those in your country. However, we will take all necessary measures to protect your personal information in accordance with this Privacy Notice and applicable law.

European Commission's Standard Contractual Clauses:

We have implemented measures to protect your personal information, including by using the European Commission's Standard Contractual Clauses for transfers of personal information between our group companies and between us and our third-party providers. These clauses require all recipients to protect all personal information that they process originating from the EEA or UK in accordance with European data protection laws and regulations. Our Standard Contractual Clauses can be provided upon request. We have implemented similar appropriate safeguards with our third-party service providers and partners and further details can be provided upon request.

If you are located in the EU or UK, see section "HOW DO WE PROCESS YOUR INFORMATION?" for our retention periods by purpose.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

By using the Services, you represent that you are at least 18 or the equivalent age as specified by law in your jurisdiction or that you are the parent or guardian of such a minor and consent to such minor dependent’s use of the Services. If we learn that personal information from users less than 18 years of age or the equivalent age as specified by law in your jurisdiction has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. In some regions (like the EEA, UK, Switzerland, and Canada), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; (iv) if applicable, to data portability; and (v) not to be subject to automated decision-making. If a decision that produces legal or similarly significant effects is made solely by automated means, we will inform you, explain the main factors, and offer a simple way to request human review. In certain circumstances, you may also have the right to object to the processing of your personal information. You can make such a request by contacting us by using the contact details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below.

You can withdraw your consent at any time by contacting us by using the contact details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below.

However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.

If you have questions or comments about your privacy rights, you may email us at privacy@madai.srl.

12. CONTROLS FOR DO-NOT-TRACK FEATURES

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.

California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.

13. DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?

In Short: If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you may have the right to request access to and receive details about the personal information we maintain about you and how we have processed it, correct inaccuracies, get a copy of, or delete your personal information. 15. WHAT HAPPENS WHEN YOU CONNECT AN AI ASSISTANT (CHATGPT, CLAUDE AND OTHERS)?

In Short: If you connect myocr.app to your AI assistant, the assistant can convert documents on your behalf. We receive only the files you ask it to convert, and we send back the status of the conversion, a link to the result and, for bank statements, the totals of the balance check.

How the connection works. You can connect your myocr.app account to AI assistants that support the Model Context Protocol (MCP), such as ChatGPT by OpenAI and Claude by Anthropic. The connection starts from the assistant: you sign in to myocr.app and confirm with "Allow" on our page, which lists what the assistant will be able to do. Your myocr.app password is never shared with the assistant.

What we receive. The file you ask the assistant to convert (the assistant gives us a link to download it, or you upload it yourself on a secure page of ours), the file name and the options you chose (document type and output format). We do not receive your conversation with the assistant or the details of your account with the company that provides it. We do not use or store technical information the assistant may add to its requests, such as your language.

What we send to the assistant. The status of the conversion, the number of pages, the file name and a link to download the result, valid for 7 days. For bank statements, also the totals of the balance check: opening and closing balances, total credits and debits, number of transactions and the result. We do not send the individual transactions or the text of the document: they stay in the file you download from the link. Anyone who has the link can download the file while it is valid, so share it only with people you choose. If you ask for your page balance, the assistant receives the pages available and the limits of your account, not your email address. If you give it the code of a balance check report, it receives the same information shown on the public verification page.

What we keep. Which app you connected, when you authorized it and when it was last used. The access keys we give the assistant are valid for 1 hour and are renewed automatically; renewal stops after 90 days without use. We store these keys only as a one-way hash, never in readable form. Files and results of conversions requested through the assistant are deleted after 30 days, like other background conversions.

How to disconnect. At any time from https://www.myocr.app/account/connected-apps: the assistant loses access immediately. You can also remove the connection from the assistant's settings.

The company that provides the assistant. The AI assistant is a service of another company. What you type and receive in the chat, including the results we send through the assistant, is processed by that company under its own privacy policy (for example OpenAI for ChatGPT and Anthropic for Claude). We do not control that processing.

Legal basis. Performance of a contract: the connection and the conversions happen at your request.

16. HOW DO WE HANDLE THE DOCUMENTS YOU UPLOAD?

In Short: We process your documents only to perform the conversion you request, we do not use them to train AI models, and we delete them automatically.

Documents. The content of the documents you upload is processed automatically, only to perform the conversion you request and the related checks, such as the balance check of bank statements. We do not use your documents to train artificial intelligence models, and we do not open them unless you ask us for help with a specific file or a bank statement fails our balance check (up to 7 days, see section 2). When you upload documents on behalf of your organization, we act as a data processor for their content under our Data Processing Agreement: https://www.myocr.app/legal/dpa.

Where they are stored. Your files are stored on servers in the European Union (Hetzner in Germany, and Cloudflare R2 with data stored in the European Union).

AI processing. Text and data extraction is carried out through enterprise cloud AI providers under data processing agreements. They do not use your content to train or improve their models and keep it only temporarily, for the period set by their terms (for example up to 24 hours, or a limited period for abuse monitoring).

Balance check reports. If you request the balance check report for a bank statement, we save it under a code (such as BCR-…). The report contains the bank name, period, last 4 digits of the account, currency, number of transactions, opening and closing balances, total credits and debits, the result of the check and the file name. Anyone with the code can check the report on our public verification page, which does not show the file name, so share the code only with the people you choose.

How long we keep them. Instant conversions on our website: the original file is deleted immediately after processing and the result within 2 hours. Background conversions (large documents, API, Excel add-in and AI assistants) and Excel add-in source documents: 30 days. Single purchases without an account: the uploaded file within 24 hours and the result within 7 days. Temporary technical copies used to repeat a processing step: 24 hours. Bank statements that fail the balance check: up to 7 days. Balance check reports: as long as your account exists.
